Climate Works Heating, Cooling & Plumbing (“Climate Works,” “we,” “us”) respects your privacy. This policy explains what personal information we collect, why we collect it, how it is used and disclosed, and the choices available to you.

1. Information we collect

Information you provide

When you submit a contact or quote form, we collect the details you provide, including your name, email address, phone number, region, requested service, and message. If you use our chat, we may also save the conversation, contact details you provide, and the page where the conversation began.

Website and analytics information

Our server receives standard technical information needed to deliver and secure the website, such as IP address, request time, requested page, and browser or device information. With your consent where required, Google Analytics 4 and Google Tag Manager may collect pages viewed, interactions, approximate location, browser and device information, and a pseudonymous identifier. Google Analytics uses first-party cookies, including the _ga cookie. Google states that IP addresses are used to derive general location information and are discarded before being logged in Google Analytics.

Security and anti-spam information

When Google reCAPTCHA is enabled for a form, it may collect device, browser, interaction, and network information to help prevent abuse under Google's policies. We also screen form message content to quarantine unsolicited marketing.

2. How we use information

• To respond to enquiries, provide quotes, schedule or deliver requested services, and maintain related business records.
• To operate the chat service and generate responses; chat content may be sent to the artificial intelligence provider configured for the service.
• To identify and quarantine unsolicited marketing messages and other form abuse.
• To operate, secure, troubleshoot, and improve the website.
• To measure website traffic, calls, and conversions using services such as Google Analytics, Google Tag Manager, and CallRail, with consent where required.
• To comply with legal obligations and protect our rights, customers, systems, and services.

We do not sell personal information or use contact details submitted through a form for unsolicited promotional campaigns without separate consent.

3. How information is shared

Form enquiries are delivered to Climate Works and may be copied to LucentSEO, our website service provider, so the enquiry can be delivered, supported, and followed up. We also use providers that support hosting, email delivery, analytics, call tracking, security, and AI-assisted chat. Google processes information for Google Analytics, Google Tag Manager, Google Reviews, and reCAPTCHA under its own terms and privacy policy. We may disclose information when required by law or when reasonably necessary to protect rights, safety, or security.

Some providers may process information outside Canada. Information processed in another country may be subject to that country's laws and lawful access by its authorities.

4. Cookies and your choices

The site stores your privacy preferences in browser local storage. Configured analytics and advertising tools load only after consent where required. You can change your choice using the “Privacy Preferences” link in the site footer, delete cookies through your browser, or use the Google Analytics Opt-out Browser Add-on. Blocking analytics cookies does not prevent you from browsing the site or contacting us.

5. Retention

We keep personal information only as long as reasonably necessary for the purposes described above and to meet legal, accounting, warranty, dispute-resolution, and business-record requirements. Enquiries identified as unsolicited marketing are held in a restricted quarantine and automatically deleted after 90 days. Retention periods for ordinary enquiries, chat transcripts, and customer records depend on the nature of the service and applicable requirements. Information that is no longer required is deleted, anonymized, or securely disposed of.

6. Safeguards

We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information, including encrypted connections, restricted administrative access, and access controls. No internet transmission or storage system can be guaranteed completely secure.

7. Access, correction, and withdrawal of consent

You may ask whether we hold personal information about you and request access to or correction of that information, subject to applicable legal limits. You may withdraw consent to uses based on consent, subject to legal or contractual restrictions and reasonable notice. Withdrawal may affect our ability to respond to an enquiry or provide a requested service.

8. Children, third-party links, and changes

This website and our services are intended for adults seeking property services. We do not knowingly collect personal information from children under 13 without appropriate consent. The site may link to third-party websites that we do not control. We may update this policy when our practices or legal obligations change; the current version and its date will be posted here.
